How to create an encounter in NutriFit

An encounter is one visit with one client. It holds everything from that visit: body measurements, clinical notes, diagnoses, files, and the nutrition program you prescribe. This guide shows how to start one and how to use the encounter page.

Four ways to start an encounter

Pick whichever matches your workflow. All of them create the visit as In progress and open it.

1. From the client (fastest for walk-ins)

Open Clients, find the person, and click Start encounter. You can also hover a row in the list and press s.

2. From today's appointments

Open Encounters. A card at the top, Start from today's appointments, lists confirmed visits from the last hour through the next two hours that have no encounter yet. Click Start encounter on the right row.

3. From the dashboard

Under Needs attention, the Ready to start list shows the same appointments. One click starts the visit.

4. From the schedule

Open an appointment in Schedule and click Create Encounter. This one is created as Scheduled so you can prepare it before the client arrives.

There is also a full form at Encounters → New Encounter: choose Select a patient, a Status and a Date, or click Use appointment on a suggested row to prefill it, then Create Encounter.

The encounter page

The page is one long chart. A Page sections rail on the left scrolls to each part.

Header

Finish closes the visit (Guide 5).

Review & sign opens AI drafts, when your workspace has them switched on.

Shortcuts lists the keyboard shortcuts.

Visit note

Right under the header, click Add notes for a free-text note about the visit. This is the quick place for "came in for follow-up, feeling better".

Properties panel (right side on desktop)

Status: change it any time.

Patient, Provider, Type, Date, Created.

Health context: allergies, intolerances, habits, care flags, medications and history. It shows on every encounter and is edited from the pencil icon or the client profile.

Nutrition measurements

The Nutrition section has five tabs. Press [ and ] to move between them.

Body composition — Body fat %, total fat mass, skeletal muscle mass, body water, visceral fat level, lean body mass, bone mineral content

Anthropometric — Weight, height, waist circumference, hip circumference

Metabolic — Basal metabolic rate, metabolic age, hand-grip strength

Subjective — Food history, hunger and fullness cues, energy and fatigue, physical activity, sleep quality, stress levels

Biochemical — Blood glucose, HbA1c

Each value saves as soon as you leave the field. Each field also shows Previous: with the last visit's value. Click it to keep that value, or click Use all previous values to copy the whole last visit and then change only what moved.

Clinical notes

Press N or click Add clinical note. Choose a type chip (Subjective, Objective, Assessment, Plan, or General, Progress, Discharge, Consultation under More), write the note, and press Save or ⌘↵.

Diagnoses

Press D or click Add diagnosis. Enter the Diagnosis name, an optional ICD-10 code and a Description. Choose Primary, Secondary or Provisional (or Differential, Final, Rule out under More), then click Add.

Nutrition programs

Click Add program to prescribe a meal plan, from scratch or from a template. Guide 6 covers this in full.

Journal

Entries your client writes in the NutriFit app appear here, read-only and updated live. They are a good opener: "I saw you logged hard evenings this week."

Documents & images

Drag a file anywhere on the page, or click Upload File. Choose a File Type (Image, Document, Medical Scan, X-ray, Other), add a Description, and click Upload. Files up to 100 MB are accepted. Each row has Preview, Download, Delete and Mention in copilot.

Activity

A timeline of who changed what, with before and after values. Anything drafted by AI and signed by a person carries an AI-assisted badge.

On a phone or tablet

The same content is arranged in tabs: Overview, Nutrition, Diagnoses, Attachments, Journal, Activity, Programs.

Keyboard shortcuts

Esc — Back to encounters

N — New clinical note

D — New diagnosis

[ / ] — Previous / next nutrition tab

⌘↵ / Ctrl+Enter — Save the open composer

⌘J / Ctrl+J — Open Copilot

Ask Copilot

Press ⌘J to open Copilot and ask, for example, "Summarize this client's weight trend" or "Draft a plan note from today's measurements." Copilot is decision support only. Anything it wants to write to the chart appears as a card asking Allow this tool to run? with Allow once, Always allow and Deny.
