How to review, sign and finish an encounter in NutriFit

Finishing a visit in NutriFit is more than changing a status. The system checks the record for gaps, asks you to fix or explain them, and, if your clinic has AI drafts switched on, lets you review and sign a visit note, a nutrition program and diagnoses in one place.
Part 1: The finish checklist
Step 1: Click Finish
In the encounter header click Finish. The Finish encounter dialog opens.
The first panel, Visit record, summarizes the visit: client, date of birth, gender, provider, clinic, and counts of notes, diagnoses, vital signs, prescriptions, procedures and nutrition measurements. Anything missing reads None.
Step 2: Read the review
The Review panel runs automatic checks on the record. No AI is involved here. Results come in three groups:
Must be fixed or explained: the visit has no notes, no diagnosis, a blood pressure where systolic is not above diastolic, or a prescription with no medications.
Needs a look: a nutrition visit with no body measurements, extreme vitals, or a BMI that does not match the weight and height.
For your information: no vitals recorded.
When everything is in order you see No issues found. Click Run again after you fix something.
Step 3: Fix or explain
For a blocking issue you have two choices:
Close the dialog, add the missing note or diagnosis, and click Finish again.
Type a Reason for finishing anyway, up to 500 characters. The hint says "Saved to the activity log with your name." The button turns red and reads Finish anyway.
Step 4: Finish
Click Finish (or Finish anyway). The status becomes Completed and you see Encounter has been successfully completed.
A completed visit does not lock. You can still correct a value later, and every change is recorded in the Activity section with your name.
The Visit review bar
While the visit is open, a Visit review bar sits under the header with the same issues. It shows "1 of 3", Previous and Next (Alt+↑ and Alt+↓), and Dismiss for warnings. Tags read Must fix, Check, Note and AI draft. Use Show suggestions to choose whether alerts appear In the finish dialog or In each section.
Part 2: Review & sign AI drafts
If your workspace has AI drafts switched on, NutriFit prepares drafts for you to review. Nothing is written to the chart until a person signs it.
Turn it on for your clinic
Owners and admins open Settings → Clinics and find AI suggestions. Switch on Prepare drafts after a visit, then choose which kinds to draft: Visit note, Nutrition program, Diagnoses.
What the AI drafts
Visit note: a Progress note, only when the visit has no clinical note yet.
Nutrition program: a draft program based on one of your templates, only when the client has no active program. If you have no templates, the tray says "Create one in Templates".
Diagnoses: up to three, always Provisional, description only, never a code.
When drafts are prepared
Automatically when you open the Finish dialog.
When you click Prepare drafts (or Refresh drafts) in the tray while the visit is in progress.
It usually takes under a minute. You see Preparing drafts… while it runs.
Step 1: Open the tray
Click Review & sign in the encounter header. The badge shows how many drafts are waiting. The subtitle reads "Drafts the AI prepared for this visit. Nothing is saved until you sign."
Drafts also surface on the dashboard card Review & sign ("AI drafts waiting for your signature") and on the client's Overview tab. Each has a Review link.
Step 2: Sign, edit or reject
Each draft carries an AI draft badge.
Visit note: read it, then Sign note. Or click Edit, change the text, and Save and sign. Or Reject.
Nutrition program: it shows Template: {name}. Click Sign as draft program to add it to the client as a draft you can refine in the Nutrition programs section. Or Reject.
Diagnoses: "Tick the diagnoses you agree with, then sign them." Tick the ones you accept, Edit any wording, and click Sign selected (2). There is no "sign all" on purpose.
Rejecting asks for an optional Reason, then Reject draft.
Step 3: Sign and finish
If the Finish dialog opened the drafts, an AI drafts step appears there: "Read each draft. Only the ones you tick are signed." Tick what you accept and click Sign and finish, or Finish without drafts.
What signing means
The note, program or diagnosis is written to the chart under your name.
The Activity log marks it AI-assisted: "Drafted by AI and signed by this person."
If the visit changed after the draft was prepared, the tray warns: "The visit changed since these drafts were prepared. Read them before you sign."
Who can sign
Owners, admins, doctors and nurses of the visit's own clinic can see and sign drafts. Front desk and lab staff do not see them. If your role cannot sign, the tray says so.
Drafts expire after 14 days.
Good habits
Read every draft in full. The AI is decision support, and your signature is the clinical decision.
Prefer Edit over Reject when the draft is close. It keeps the AI-assisted trail honest.
Leave a Reason for finishing anyway that a colleague would understand next month.
